How we built a complete digital presence for a busy wedding venue — from website and AI chatbot to booking systems and marketing materials.
The Challenge

Swallows Oast is a popular wedding and events venue that hosts everything from intimate ceremonies to large celebrations. As the venue grew busier, so did the volume of enquiries — and the team were spending hours every week answering the same questions about availability, pricing, packages, what's included, parking, accommodation, and directions.
Enquiries were also being missed or delayed, especially during busy event days when staff were focused on running the venue rather than checking emails and returning calls. On top of that, the venue's online presence didn't reflect the quality of what they offered — they needed a website, booking system, and marketing materials that worked as hard as they did.
The Solution
A complete digital overhaul — website, AI chatbot, bookings, and more.
This was one of our most comprehensive projects. We started with a full website redesign, giving Swallows Oast a professional online home that showcases the venue beautifully and makes it easy for couples and event organisers to find the information they need.
The centrepiece was an AI-powered FAQ chatbot, trained on everything about the venue — pricing, packages, availability, logistics, accommodation, directions, and more. It answers the questions that were eating up hours of the team's week, instantly and accurately, any time of day. When a query is too complex or personal, the chatbot seamlessly hands over to a member of staff.
We also built an event booking system so customers can check availability and book directly through the website, plus a separate booking system for managing events. Beyond the digital side, we designed printed marketing materials including posters and brochures for the venue to use at wedding fairs and events.
We even set up Wi-Fi hotspots throughout the property so guests have reliable internet access during their stay — a small touch that makes a big difference to the guest experience.
